      <title>How To: Access Request for Sites</title>

      <description>Within your DHQ, you may have sites which are secure, and unavailable to certain user groups. These sites may offer an option to request access, allowing the site admin to manage who can access the site. This article shows you how to enable/disable access request functionality for a site.&lt;BR&gt;
&lt;BR&gt;
&lt;STRONG&gt;To configure access requests, browse to your desired site.&lt;/STRONG&gt;&lt;BR&gt;
1.Go to Site Actions &amp;gt; Site Settings then Advanced Permissions in the Users and Permissions column.&lt;BR&gt;
&lt;BR&gt;

      <title>How To: Calculated Columns</title>

      <description>Within your lists in DHQ, you can create calculated columns to perform certain tasks automatically like taking hours and multiply them by the rate to obtain a total, or determine a date span between dates.&lt;BR&gt;
&lt;BR&gt;
&lt;FONT size=2&gt;You will require the necessary permissions to complete these steps. If you do not have the correct permissions, contact your DHQ Administrator for further assistance.&lt;/FONT&gt;&lt;BR&gt;
&lt;BR&gt;
Microsoft has released a great reference for formulas for the calculation field. See&amp;nbsp;&lt;A href="http://office.microsoft.com/en-us/windows-sharepoint-services-help/examples-of-common-formulas-HA010105479.aspx"&gt;&lt;FONT color=#497699&gt;http://office.microsoft.com/en-us/windows-sharepoint-services-help/examples-of-common-formulas-HA010105479.aspx&lt;/FONT&gt;&lt;/A&gt;&amp;nbsp;for more details on what you can do within a calculated field.&lt;BR&gt;
&lt;BR&gt;
&lt;STRONG&gt;Current Date Issue&lt;/STRONG&gt;&lt;BR&gt;
Working with the current date is tricky in calculated columns. The columns do not support [Today]. If you were to add it you will get the error:&amp;nbsp;&lt;SPAN id=ctl00_PlaceHolderMain_LabelMessage&gt;Calculated columns cannot contain volatile functions like Today and Me.&lt;/SPAN&gt;&amp;nbsp;There is a way around this.&amp;nbsp;In the following example, we want to know the duration in days an item has been open. If the item isn't closed yet then we want to use the current date.&lt;BR&gt;
&lt;BR&gt;
&lt;FONT face=Tahoma&gt;
&lt;OL&gt;
    &lt;LI&gt;&lt;FONT size=2&gt;&lt;FONT face=Tahoma&gt;Browse to the list and click Settings then List Settings.&lt;/FONT&gt; &lt;/FONT&gt;
    &lt;LI&gt;&lt;FONT face=Tahoma&gt;&lt;FONT size=2&gt;Create a new field called Today with a column type of Date &amp;amp; Time. &lt;/FONT&gt;&lt;/FONT&gt;&lt;/LI&gt;
&lt;/OL&gt;
&lt;P&gt;&lt;FONT face=Tahoma&gt;&lt;/P&gt;
&lt;P&gt;&lt;FONT size=2&gt;&amp;nbsp;3. Create &lt;/FONT&gt;&lt;/FONT&gt;&lt;FONT size=2&gt;a calculated field and paste in the following&lt;BR&gt;
&lt;BR&gt;
=IF([&lt;STRONG&gt;End Date&lt;/STRONG&gt;] = "",DATEDIF([&lt;STRONG&gt;Start Date&lt;/STRONG&gt;],[Today],"d"),DATEDIF([&lt;STRONG&gt;Start Date&lt;/STRONG&gt;],[&lt;STRONG&gt;End Date&lt;/STRONG&gt;],"d")) &lt;/FONT&gt;&lt;/P&gt;
&lt;OL&gt;
    &lt;LI&gt;&lt;FONT size=2&gt;Change End Date to the name of your closed date column and change Start Date to the open date colum. &lt;/FONT&gt;
    &lt;LI&gt;&lt;FONT size=2&gt;Click OK. &lt;/FONT&gt;
    &lt;LI&gt;&lt;FONT size=2&gt;Click on the Today field and delete this field. &lt;/FONT&gt;&lt;/LI&gt;
&lt;/OL&gt;
&lt;P&gt;&lt;FONT size=2&gt;Your column will now work with the calculated fields properly. If you need to tweak the calculated field again, you'll need to add the Today column, make your modifications, then delete it.&lt;/FONT&gt;&lt;/P&gt;

    &lt;LI&gt;Preview Email. Click this link to view a sample of what the email will look like. This Preview email isn't exact, however it will give you a good sense of what the email will look like. &lt;/LI&gt;

      <title>How To: Manage alerts and notifications in DHQ</title>

      <description>DHQ allows users to subscribe to updates made on lists and libraries. Updates can include adding, editing, deleting or all of the previous. Alerts allow users to receive email notifications when an item or list they are interested in is changed. &lt;BR&gt;
&lt;BR&gt;
All users can manage their own alerts. DHQ administrators can manage alerts for other users as well. &lt;BR&gt;
&lt;BR&gt;
&lt;STRONG&gt;To add alerts for a list or library&lt;/STRONG&gt;&lt;BR&gt;
&lt;BR&gt;
&lt;OL&gt;
    &lt;LI&gt;Go to the desired list you wish to recieve an alert from.
    &lt;LI&gt;Click the Actions menu then click Alert Me. &lt;/LI&gt;
&lt;/OL&gt;

    &lt;LI&gt;On the New Alert page, you will have the following options

        &lt;LI&gt;Alert Title. This will be the title of the alert and will appear in the subject line of the email. &lt;/LI&gt;

    &lt;P&gt;3. Change Type. Select what kind of changes you want to receive alerts on. &lt;/P&gt;
    &lt;P&gt;4. Send Alerts for These Changes. Specify additional criteria for your alerts. &lt;/P&gt;
    &lt;/LI&gt;
&lt;/OL&gt;
&lt;P&gt;5. When to Send Alerts. Specify the time frame when you want to receive the alert. &lt;/P&gt;
&lt;P&gt;6. Click OK. &lt;/P&gt;
&lt;P&gt;You will receive an email confirmation stating the alert has been setup.&lt;/P&gt;
&lt;P&gt;&lt;STRONG&gt;To manage your existing alerts&lt;/STRONG&gt;&lt;/P&gt;
&lt;OL&gt;
    &lt;LI&gt;Go to Welcome Your Name in the top right of the page. &lt;/LI&gt;
&lt;/OL&gt;

      <title>Policy Sign Off feature -users</title>

&lt;/STRONG&gt;To load policies into the web part,&amp;nbsp;go to the document library you selected above. You can use existing documents in the library or upload new documents. &lt;BR&gt;
&lt;BR&gt;
&lt;STRONG&gt;Upload new policies.&lt;/STRONG&gt; You can click Upload in the document library and upload your policies. After you upload your policy you will be prompted with the policy properties. There is a bug in the Microsoft framework which will not allow you to specify your settings on this page. You need to click OK, then edit the document again, following the steps below.&lt;BR&gt;

&lt;STRONG&gt;Existing Policies.&lt;/STRONG&gt; Hover over a document name, in the context menu, select Edit Properties. You will see a few new fields.

    &lt;LI&gt;Require Sign Off. Check this to add this document to the sign off list.
    &lt;LI&gt;Sign Off Revision. Specify a value in this text box. This is used to signify what version of the document your users are reading. If you require a sign off on the same document at a later date, specify a different revision.
    &lt;LI&gt;Sign Off Deadline. Specify when this document will be removed from the list of available documents to be signed off on.
    &lt;LI&gt;Sign Off Groups. Specify which groups of users in DHQ are required to sign off on this policy. The policy will only appear to these select users. Leave blank for all users in DHQ.
    &lt;LI&gt;Notify Users. Check to allow DHQ to email a notification to the specified users in the Sign Off Groups.
    &lt;LI&gt;Click OK. &lt;/LI&gt;
&lt;/OL&gt;
&lt;P&gt;&amp;nbsp;&lt;/P&gt;

Any users requiring to view the reports should be in the Policy Report Viewers security group. Go to Site Settings then&amp;nbsp;People and Groups to add the necessary users to this group.&lt;BR&gt;

To view the reports, in the left Quick Launch, at the bottom is a new link called Policy Sign Off Report. Click this link to view the reports. &lt;BR&gt;

The reports will display a list of only the users who were specified in the Sign Off Groups field for the document. Any user who has not read a policy yet will be highlighted in red, otherwise a date and time will be displayed showing when they read off on the document.&lt;BR&gt;

For supervisors to sign off on reviewing the policy with their officers, they need to go to the report, as mentioned above. On the report page the officers the supervisor has access to will have a Review link next to their name. The supervisor has to simply click Review.&lt;BR&gt;
