Policy Sign Off feature -users
Load Policies

To load policies into the web part, go to the document library you selected above. You can use existing documents in the library or upload new documents.

Upload new policies. You can click Upload in the document library and upload your policies. After you upload your policy you will be prompted with the policy properties. There is a bug in the Microsoft framework which will not allow you to specify your settings on this page. You need to click OK, then edit the document again, following the steps below.







Existing Policies. Hover over a document name, in the context menu, select Edit Properties. You will see a few new fields.
  1. Require Sign Off. Check this to add this document to the sign off list.
  2. Sign Off Revision. Specify a value in this text box. This is used to signify what version of the document your users are reading. If you require a sign off on the same document at a later date, specify a different revision.
  3. Sign Off Deadline. Specify when this document will be removed from the list of available documents to be signed off on.
  4. Sign Off Groups. Specify which groups of users in DHQ are required to sign off on this policy. The policy will only appear to these select users. Leave blank for all users in DHQ.
  5. Notify Users. Check to allow DHQ to email a notification to the specified users in the Sign Off Groups.
  6. Click OK.

 

 

Reporting

Any users requiring to view the reports should be in the Policy Report Viewers security group. Go to Site Settings then People and Groups to add the necessary users to this group.


To view the reports, in the left Quick Launch, at the bottom is a new link called Policy Sign Off Report. Click this link to view the reports.




The reports will display a list of only the users who were specified in the Sign Off Groups field for the document. Any user who has not read a policy yet will be highlighted in red, otherwise a date and time will be displayed showing when they read off on the document.




Supervisor Review

For supervisors to sign off on reviewing the policy with their officers, they need to go to the report, as mentioned above. On the report page the officers the supervisor has access to will have a Review link next to their name. The supervisor has to simply click Review.
