How To: Setup Custom Send Notifications
The Send Notification feature allows users to send information from DHQ to other DHQ users or email addresses outside of their network via email. 

You will require the necessary permissions to complete these steps. If you do not have the correct permissions, contact your DHQ Administrator for further assistance.

Enable Send Notification

  1. To enable Send Notification on a list, browse to the list.
  2. Click Settings then List Settings.

3. Click Send Notification Settings under the right column Communications.

4.Click Enable.

5. Send Notifications are now enabled on your list. See Edit Send Notification Settings below.



Edit Send Notification Settings

  1. To edit Send Notification on a list, browse to the list.
  2. Click Settings then List Settings.
  3. Click Send Notification Settings under the right column Communications.
  4. Recipients tab. This tab contains the email recipients. Specify your desired recipients.

 


  1. Email Groups. Select this option to manually enter distribution groups. You can specify the group title, description and the email addresses, separated by commas.
  2. Email Field. Select this option to send the email to a user specified in the list, like an Assigned To or Created By.

6. Email Format tab. This tab contains the message of the email being sent. You may include the values from the list to populate the email.

  1. Specify the subject and the body of the email.
  2. Double-click a field on the right to include in the message.
  3. Special Fields
    1. Link to Item. Provides a link to the item.
    2. Send Notification Status. Will insert a New if it's a new item or Update if it's an updated item.
  4. Click Update to save changes.

In addition to managing the recipients and email content, you can also specify some default settings.
  1. To edit Send Notification on a list, browse to the list.
  2. Click Settings then List Settings.
  3. Click the column name Send Notification under Columns.
  4. You may specify the default groups and settings.

 

Using Send Notification

Using send notification is simple. When you add or edit an item you will see the field Send Notification. Click the highlighted bar to display the options.


If you selected Email Groups in the settings, you will see the following options.

  • Send to Group. Check the groups to send the email to. You can hover over the group name to read the description.
  • Send to Emails. You can specify additional email addresses.

If you selected Email Field in the settings you will see the field names the email will send to. See Both options include below.


Both options include:

  • Email Priority. Specify whether or not this email should be considered urgent.
  • Email Read Receipt. Receive an receipt upon the recipient reading the email. Your email address will be used for sending the email.
  • Preview Email. Click this link to view a sample of what the email will look like. This Preview email isn't exact, however it will give you a good sense of what the email will look like.
